Monday Morning Report

Rather than a copy of every subordinates' expiration emails, in Ability you receive a single compiled report that includes:

  • Expired and/or overdue training for your subordinates and yourself (sample email.jpg)
  • Training due within the week for your subordinates and yourself

You will not receive an email if your team does not have any urgent training concerns. Only training assigned through Tracks will be on your Monday Manager Report.

  • What is Report Type?

    Report Type is how the system has determined someone reports to you -- how they got on your People/team list.

    Report Type also indicates how to remove someone from your list.

    HR Report Type: 
    • The person was assigned to you through the nightly EBS feed (you are on record in EBS as the person's supervisor).
    A Report Type: 
    • Person was added to your people/team to indicate an Ad hoc or alternative supervisory relationship not represented in MSU HR*
    • If you are providing oversight of training for other managers (you are their proxy), those people will be Report Type A since you are not their direct supervisor. 
    • If you've asked to have a Group created and added to your list based on some data point (e.g. student major, department ID, job title), most or all of those people are considered Ad hoc
    • Some users will have extra people on their list because they have a campus-wide Compliance role or are proxy to someone else's team.
      • To update ad-hoc group members, contact the help desk at train@ora.msu.eduNote that if you have been given the view of another manager's group, then you cannot add/remove those manager's people except by eding the originating manager's group.

    *If you are supervising the activities of a volunteer, or project personnel, or temporary lab help, then you may need to assign and monitor training for the person even if you aren't their supervisor in the HR system. 

  • Why am I getting reports for people who I do not supervise?

    Sometimes managers, students, or HR administrators add people incorrectly. Sometimes people forget that a person used to work under them. Even temporary and unpaid assignments should be reported in case there is a regulatory requirement associated with the work.

    People are added to your list either a) automatically through the nightly feed from EBS (Report Type=HR) or b) as ad hoc upon request (Report Type=A). (Sample image below)

    • EBS corrections - Changes to those relationships must be completed by your unit HR administrator and will be reflected a few days later in the Training system.
    • Ad Hoc updates - Managers and learners can send updates to train@ora.msu.edu.
  • How do I update my subordinate list?

  • What should I do with the report information? Can I update the info?

    Reports notify you of urgent issues. The report highlights potential non-compliance.

    Managers know best what work a learner is conducting.

    • If the learner no longer works for you, check to verify why they are still on your list.

    • If the learner does not require that training for their position with you:
      a) check with the learner to see if they need it for another position or academic role, and/or remove the track or ask for its removal, or
      b) ignore the track that does not apply to your work.

  • Why is there training that does not apply to me

    A person's risks and responsibilities drive what training is required by regulation, MSU policy, best practice or other standard. 

    People at MSU often hold multiple roles including student and employee, and sometimes they work at multiple positions in multiple units. 

    Training requirements can differ between roles or can often overlap. 

    If the learner does not require that training for their position with you:
    1. Check with the learner to see if they need it for another position or academic role, and/or
    2. Remove the track (quick video and/or manager guide), email train@ora.msu.edu to ask for its removal, or
    3. Ignore the track that does not apply to your work.
